Overview

Star Dental Partners is currently seeking a payroll administrator to join our high-growth and fast-paced dental services organization (DSO). This position will assist with all elements of the payroll function, including processing bi-weekly payroll for 500 plus employees in multiple states and numerous office locations, as well as reviewing payroll reports for the whole organization. This position is responsible for timely submission and processing of wages, commissions, benefits deductions, garnishments, etc. Other payroll-related tasks and responsibilities will include managing Time & Attendance (T&A), benefits administration, personnel changes, electronic personnel files, employment verification (E-Verify) compliance, reporting, and addressing employee inquiries. The goal is to ensure personnel receives the correct compensation in a timely manner.

 

The Payroll Administrator communicates with all levels of personnel and alerts management of the company to any issues that require immediate attention. As the position involves handling employees' personal information, the administrator is expected to maintain proper security and confidentiality for all employees. The Payroll Administrator will also assist in other functions as needed. This position supports the Finance, Accounting, Human Resources, Talent Acquisition, Operations, as well as other departments as directed.

 

The Payroll Administrator reports to the CFO, and a dotted line to the Director of HR.

Responsibilities

The Payroll Administrator will collaborate with Finance, Accounting, HR, as well as other departments as needed to ensure the timely and accurate processing of information. He or she will be expected to responsibly handle a variety of confidential and sensitive employee information as well as employer data. This individual will be expected to stay current and well-informed on payroll and personnel database compliance. 

 

Payroll Processing

  •  Oversee the preparation and processing of multi-site, multi state payroll on biweekly basis for 500 to 1000 plus employees as our organization continues to grow exponentially.
  • Maintain Time & Attendance (T&A) as well as help resolve timecard errors as required in time for payroll.
  • Work closely with internal colleagues as well as external benefits broker to ensure timely benefits enrollments and payroll deductions.
  • Calculate pro-rata pay for exempt employees with mid pay period changes, including first or final paychecks, as well as any affected by leave of absences as needed.
  • Manage as well as ensure accuracy of special pay and deductions, including but not limited to stipends, commissions, bonuses, benefits, garnishments, 401k, etc.
  • Create and run reports to compile data for analysis.
  • Understand and adhere to local, state, and federal laws as well as internal company policies.
  • Address inquiries and correspond with colleagues as required.

Employee Management

  • Process employee changes in Human Resource Information System (HRIS), ADP Workforce Now and Applicant Tracking System (ATS), iCIMS.
  • New Hire & Rehire Onboarding
  • Voluntary & Involuntary Terminations, as well as file state Employee Termination Notices as required.
  • Changes in FLSA status, promotions, transfers, position changes, etc.
  • Address inquiries and correspond with colleagues as required.
  • Monitor various Outlook HR inboxes and phone system messages.
  • Review and resolve employee change requests in employee management software (ADP WFN).
  • Process employment verification as requested.
  • Maintain Electronic Personnel Files in ADP to remain in compliance and for audit purposes.
  • Ensure Offer Letter, resume, Confidentiality Agreements, Resignation Letters, Doctor Certifications and/or releases to return to work, etc. are filed correctly in respective systems.
  • Confirm Personnel Action Forms submitted by hiring managers and Talent Acquisition are received timely, complete, and accurate.
  • File performance management and/or disciplinary documentation as needed.
  • Assist with Finance with Annual Audits.
  • Monitor E-Verify I-9 in ADP
  • Prompt managers to complete I-9 Section 2.
  • Troubleshoot system issues.
  • Follow up on expired authorization to work status, requested documentation, etc.

HRIS Reporting

  • Generate monthly reports.
  • Perform employee premium benefit deductions reconciliations.
  • Compile census report including employee changes for executives and private equity sponsor.
  • Ad Hoc reports to compile data for analysis a needed.
  • Build custom reports.
  • Run standard reports.

Ad hoc projects and other duties as assigned.

Qualifications

  • 3 years’ experience with Payroll and Time & Attendance (T&A) management
  • 2 years’ experience processing payroll for a multisite, multistate organization
  • 2 years’ experience processing payroll for 500+ employees
  • Demonstrated ability to calculate incentive based compensation plans 
  • Familiarity with human resource policies such as worker's compensation, FMLA administration, wage garnishment, etc. 
  • Proficient in Payroll and HRIS management software (ADP, Paycom, Paychex, etc.) ADP preferred but not required
  • Intermediate level proficiency in Microsoft Office applications (Excel, Outlook, SharePoint, and Word)
  • HS Diploma or GED from an accredited educational institution required, bachelor's degree preferred
  • Required to commute to the Plano, TX office at least 4 days per week.
  • Ability to maintain a full-time employment schedule of approximately 40 hours per week. Extended hours may be requested or required.
